Seating chart display ideas

The seating chart is one of the most photographed details at a wedding. Here are display styles that look beautiful, and how to make each from one print-ready PDF.

Printed foam board on an easel

The simplest and most reliable. Export the sign as a PDF at 18×24 or 24×36 in (or A2 / A1), and ask a print shop to mount it on foam board. It stands on any easel and survives a breezy garden. Tip: matte finish avoids glare in photos.

Clear or frosted acrylic

Modern and luxe. Print shops can print directly onto acrylic, or you can print onto clear vinyl and apply it. Dark text on clear acrylic needs a light background behind it; the Atelier style suits it well. For black acrylic, use light text — the Midnight style.

Mirror

A vintage mirror with the names in white or gold vinyl is a classic look. Ask a vinyl-cutting service to cut from your PDF, or have the layout printed on clear vinyl. Keep the font weight generous — thin script can disappear against reflections.

Frames by table

A frame per table, arranged on a table or hung on a wall, each showing that table’s guests. Print the by-table layout on Letter or A4 and trim, or print table cards with names listed under the number (5 × 7 in / A5 fits standard frames).

Escort card wall or pegboard

Escort cards pegged to strings, clipped to a pegboard, tucked into a wall of greenery or a pallet. Guests take their card with them. Print flat escort cards (10 per sheet) or tent cards (4 per sheet) and add twine or clips.

Practical tips

  • Place the display at the entrance to the reception, with space for a crowd to gather.
  • Give it light if the reception is in the evening.
  • For more than about 150 guests, two displays (A–L and M–Z) halve the queue.
  • Order large prints about a week ahead; keep the PDF on your phone in case a reprint is needed.

Plan it, then print itPaste your guest list, seat everyone on a to-scale floor plan, and print the sign and cards — free, no account.
