Alphabetical or by table?

Alphabetical (“Find your seat”) lists every guest by surname with their table number. Guests find their name fast, so queues at the board move quickly — the better choice above roughly 80 guests. By table groups names under each table. It reads beautifully and shows who you’re sitting with, but guests scan every block to find themselves. Couples with smaller weddings, or tables named after places, often prefer it.

You don’t have to choose up front: switch between them in the print studio and the sign re-flows instantly.

Sizes and how to print them

SizeTypical use
16 × 20 inSmall weddings; fits common 16×20 frames
18 × 24 inThe most popular easel size for mid-size weddings
24 × 36 inLarge guest lists, or a board read from a few steps back
A2 · 420 × 594 mmUK/EU equivalent of 16×20–18×24
A1 · 594 × 841 mmUK/EU large board, close to 24×36

Not sure which size your guest count needs? The sign size calculator renders your number of names at each size and tells you which is comfortably readable.

  1. Export a PDF. In the print studio, press Print or save as PDF and choose “Save as PDF”. The PDF page is the true poster size, so a print shop can print it at 100%.
  2. Pick a finish. Matte poster paper is cheapest; foam board stands on an easel by itself; acrylic or mirror boards suit the Midnight style. Ask for “no scaling, full bleed”.
  3. Proof one name. Before printing the big board, print the sign on Letter or A4 to check spellings — it’s the same layout, just smaller.
  4. Leave time for late changes. Print shops often need one to three working days. The planner tells you if anything changed after you exported, so you know whether a reprint is needed.

Why not a downloadable template?

Static templates — Canva, Word, PDF — look lovely until the first RSVP changes. Then every name is a manual edit, and it’s easy to miss one. Because these templates read from your plan, the sign, escort cards, place cards and caterer sheet always agree with each other. And there’s no watermark on anything you export.
